About Hours Calculator
Whether you're an employee tracking your own hours, a freelancer billing clients, or a small business owner processing payroll, accurate time tracking is essential. Our Hours Calculator (Time Card Calculator) helps you log clock-in/clock-out times, deduct unpaid breaks, calculate regular vs overtime hours, and convert total minutes to decimal hours (the format required by most payroll systems like QuickBooks, ADP, Gusto, and Paychex). The calculator supports multiple clock-in/clock-out entries per day (up to 5 shifts), automatic AM/PM detection or 24-hour military time, unpaid break deduction (lunch, dinner), overtime calculation following US FLSA rules (>40 hours/week threshold), and state-specific overtime presets for California (>8 hours/day), Colorado (>12 hours/day), Nevada, and Alaska. Rounding options include nearest 5 minutes, 6 minutes (0.1h), 15 minutes (0.25h), or 30 minutes (0.5h). Output includes weekly, bi-weekly (14 day), semi-monthly, and monthly totals in decimal hours and time format. Export timesheet as CSV for Excel compatibility.
Hours Calculator is optimized for fast browser-based use, so you can test multiple scenarios in seconds.
Formula & Logic
- 01Paid hours per shift = (end time - start time) - break duration (in hours).
- 02Weekly total = sum of daily totals for 7-day period.
- 03Regular hours = min(weekly total, 40). Overtime hours = max(weekly total - 40, 0).
- 04Decimal conversion = total minutes ÷ 60.
- 05Rounding: Convert time to minutes, round to nearest multiple, convert back.
Practical Examples
- 01Baseline check: Use realistic inputs in Hours Calculator to generate a first-pass estimate.
- 02Sensitivity check: Change one key input at a time to compare how the output shifts.
- 03Decision check: Save two or more scenarios and use the differences to choose the better option.
Important Limitations
- •Results depend on the accuracy of your inputs.
- •Displayed values may be rounded for readability.
- •Edge cases can vary based on locale standards, conventions, or input formatting.
